    Role Summary

    Under limited supervision, this position is responsible for providing comprehensive administrative support of the day-to-day responsibilities for three (3) SVP level executives in the Marketing Partnerships department. Duties include but are not limited to: calendar management, appointments and scheduling, expense report reconciliation, coordination of travel, as well as other department and staff request responses.
    This position provides complete administrative support and contributes to the efficient operation and performance of the Team Sales and Sports/Entertainment business units. The Assistant will have frequent contact with the SVP’s direct reports, as well as other department and company executives. The position requires a thorough knowledge of the department’s language, policies and practices and will need to work independently, receiving a minimum level of detailed supervision and guidance.

    Specific Functions/Activities Summary

    • Schedules and maintains the SVP’s calendar of appointments, meetings and travel itineraries and coordinates all related arrangements. Prepares any necessary information for meetings. 
    • Answers and screens the SVP’s telephone calls while handling complex inquiries, take messages and transfer calls to the appropriate party, provide back-up to other assistants as needed. Receives and directs visitors.
    • Tactfully handles inquiries and/or refers to appropriate party. Reviews and answers mail and inquiries on own initiative and determines if action from SVP is required. Refers routine matters to appropriate person for action and follows up to ensure completion.
    • Prepares regular expense reports for SVP’s in a timely and efficient manner utilizing Concur system. Coordinates timely payment and tracking of department invoices utilizing Puridiom system. 
    • Acts as liaison between the SVP’s and their direct reports, as well as internal and external contacts. Coordinates activities and ensures that requests are carried out.
    • Handles a wide variety of situations and tasks involving the clerical and administrative functions of the office that do not need to be brought to the attention of the SVP’s.
    • Responsible for submitting, tracking and coordinating confirmation needs for SVP personal and client ticket requests. 
    • Ordering and maintaining inventory of Department materials and supplies. Ensures that office equipment works properly. Coordinates repair requests with facilities and/or outside vendors. Maintains records on all repairs and orders.
    • Organizes all paperwork necessary for the SVP’s to approve. Follows up with other departments to ensure that requests are carried out and activities are coordinated. 
    • Assists department in special projects as needed – this may include being available and on-site during games or events if needed. 

    Qualifications

    • At least five (5) years administrative experience in a fast paced, high volume corporate setting handling a wide range of administrative related activities
    • Experience supporting senior level executive(s)
    • Excellent knowledge of Microsoft Office applications (Outlook, Excel, Powerpoint, etc)
    • Proficient knowledge of expense reporting and invoice processing systems (Concur, WorldTravel, Puridiom)
    • Strong communication skills (both written and oral), with the ability to interact with all levels of management and staff
    • Superior organization skills and attention to detail; ability to multi-task and prioritize responsibilities
    • Must be able to handle highly confidential and sensitive information with the utmost discretion
    • Strong work ethic and a positive attitude; with an ongoing sense of urgency
    • Must be flexible to work occasional nights/weekends to participate in events

    Education

    Candidates who have completed 60 credits of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred.
