    Role Summary

    The Chief of Staff, Sr. Executive Assistant is responsible for leading the organization, prioritization, travel and personal needs of a high profile and dynamic Chairman and CEO. This person will be responsible for establishing processes to support the business and personal requirements of the Executive Chairman and CEO. The Chief of Staff will lead a highly skilled team of dedicated executive, travel and personal assistants that ensure seamless execution of the business, philanthropic, travel and personal requirements of the Executive Chairman.

    Candidates must have 15+ years C-Level executive and personal assistant with a minimum of 5 years team management experience. Candidates must have demonstrable experience in calendar management and using good judgement for prioritization as well as a proven track record of working in a collaborative team environment. You will serve as the primary point of contact for all internal and external matters. Candidate needs to be a very hands-on, organized individual who can build processes to track all details large and small. Candidate must anticipate challenges and troubleshoot issues as they arise. Candidate needs to be flexible, highly dependable, and extremely detail oriented. Candidates should demonstrate the ability to manage competing priorities in a dynamic environment while possessing the ability to work under pressure and meet deadlines. This person must be able to maintain professional discretion with sensitive and highly confidential information. Additionally, potential candidates must have proven skills in building effective working relationships and the ability to interact with top leaders in business, entertainment, sports, and politics.

    Specific Functions/Activities Summary

    • Manage calendar as “command central” for all activities involving the Chairman and CEO, including business and personal.
    • Work collaboratively with the other Executive Assistants to ensure all team members have the necessary information when called upon by the Executive Chairman.
    • Manage sensitive, highly confidential, personal and proprietary information with discretion and confidentiality.
    • This individual will need to be available on a 24/7 basis and act as liaison to the Chairman and all appropriate departments and executives.
    • Responsible for follow through on events, games, travel and evenings, must see all to successful completion.
    • Anticipate all contingencies. Anticipation of potential issues and potential dependencies on external partners is critical. 
    • Managing meetings including scheduling conference calls, video conference meetings, in-person, and off-site meetings, arranging and booking international and domestic travel, organizing car transportation, hotel accommodations, conferences, meals as needed.
    • Preparing comprehensive travel itineraries and contact lists specific to each trip and orchestrate all business and personal trips from start to finish.
    • Carry out regular and continual review of emails, contact list, phone calls, and other forms of correspondence and then identify the appropriate follow up action. 
    • Coordinate logistics for special business events and personal projects; help locate and obtain information & resources; anticipate and prepare materials as needed. 
    • Prioritize functions and appointments, ensuring that meetings, deadlines, presentations and other duties are completed.  
    • Attend executive meetings, note meeting minutes and communicate information to executive team.
    • Some travel may be required

    Qualifications

      • Candidates must have a minimum of 15+ years hands on experience expediting business and personal projects in support of a President or CEO in a complex organization. 
      • Must have minimum of 5 years managing and leading a team.
      • The ideal candidate must be highly flexible, stress tolerant and motivated, able to troubleshoot issues and work with limited supervision as well as in a team setting.
      • Experience managing a highly changeable calendar with tact and diplomacy, discretion and confidentiality. 
      • This person must have the ability to adapt and learn a large matrixed organization. 
      • Excellent communication and interpersonal skills are required. 
      • Able to schedule and manage intricate domestic and international travel arrangements and anticipate all contingencies.
      • The executive assistant must have experience serving as a liaison with 24/7 availability. 
      • Able to maintain confidentiality and professionalism at all times. 
      • Candidates should be well-organized and detail-oriented with the ability to multi-task with a track record as a strategic thinker capable of foreseeing impacts of simultaneous projects. 
      • This role requires a strong sense of loyalty, urgency, reliability and commitment. Strong judgment, decision making, time management, and prioritizing skills.  Must be energetic, positive, outgoing, and resourceful.
      • Highly proficient in Microsoft Outlook, Excel, Word and PowerPoint.
      • Associates or bachelor’s degree preferred, minimum of 60 College credits required.
