    Role Summary

    The Executive Administrative, Second Assistant will be the second assistant and key member of a team that supports the organization, prioritization and business needs of a dynamic Chairman and CEO.

    Candidates must have 8-10 years C-Level executive and personal assistant experience. You will serve as the second point of contact for all internal and external matters. Candidates must have demonstrable experience in calendar management and using good judgement for prioritization. Candidates must anticipate challenges/troubleshoot issues as they arise. Candidate needs to be flexible, highly dependable, and detail oriented with the ability to prioritize tasks in a fast-paced changing environment. This person must be able to maintain professional discretion with sensitive and highly confidential information. Additionally, potential candidates must have proven skills in building effective working relationships and the ability to interact with top leaders in business, entertainment, sports, and politics.

    Specific Functions/Activities Summary

    • Work collaboratively with the other Executive Assistants to insure all team members have the necessary information when called upon by the Chief of Staff and Executive Chairman.
    • Manage sensitive, highly confidential, and proprietary information with discretion and the utmost level of confidentiality.
    • This individual will need to be available on a 24/7 basis and act as liaison to the Chief of Staff and Chairman as needed.
    • Managing meetings including scheduling conference calls, video conference meetings, in-person, and off-site meetings, arranging and booking international and domestic travel, organizing car transportation, hotel accommodations, conferences, meals as needed.
    • Work under tight deadlines, remain aware of shifting priorities, anticipate last second changes and make necessary adjustments; always having a plan B in place. 
    • Coordinate logistics for meetings, events and personal projects; help locate and obtain information & resources; anticipate and prepare materials as needed. 
    • Order and stock appropriate office supplies and equipment for executive office.
    • Prioritize functions and appointments, ensuring that meetings, deadlines presentations and other duties of the Executive Chairman are carried out seamlessly.
    • Work as part of a high touch team by providing regular communication and fostering a high level of collaboration, teamwork and cooperation.

    Qualifications

    • Candidates must have a minimum of 8-10+ years hands on experience expediting business and personal projects in support of a President or CEO in a complex organization. 
    • The ideal candidate must be flexible, stress tolerant and motivated, able to troubleshoot issues and work with limited supervision as well as in a team setting.
    • Experience managing a highly changeable calendar with tact and diplomacy.  
    • This person must have the ability to learn the organizational structure of a large matrixed organization. 
    • Excellent communication and interpersonal skills are required. 
    • Able to schedule and manage intricate domestic and international travel arrangements and anticipate all contingencies.
    • The executive assistant must have experience serving as a liaison with 24/7 availability. 
    • Able to maintain confidentiality and professionalism at all times. 
    • Candidates should be well-organized and detail-oriented with the ability to multi-task.  
    • This role requires a strong sense of loyalty, urgency, reliability and commitment. Strong judgment, decision making, time management, and prioritizing skills.  Must be energetic, positive, outgoing, and resourceful.
    • Highly proficient in Microsoft Outlook, Excel, Word and PowerPoint.
    • Associates or bachelor’s degree preferred, minimum of 60 College credits required.

    Candidates who have completed 60 credits of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred.
