    Role Summary

    Under limited supervision, this position is responsible for providing comprehensive administrative support in the day-to-day operations of the Threat Management department, specifically supporting the SVP Threat Management. The main functions of this role will be managing correspondence which is often of a confidential nature, preparing research, screening incoming phone calls and mail, communication on behalf of the heads of security and acting as the "gatekeeper;" as well as handling more complicated special projects such as designing and preparing presentations, coordination of complex meetings or travel.

    This position provides complete administrative support and contributes to the efficient operation and performance of the Threat Management business unit. This position will have frequent contact with the SVP’s direct reports, as well as other department and company executives. The position requires a thorough knowledge of the department’s language, policies and practices and will need to work independently, receiving a minimum level of detailed supervision and guidance.

    Specific Functions/Activities Summary

    • Answers and screens executives telephone calls and visitors. Tactfully handles inquiries and/or refers to appropriate party. Reviews and answers mail and inquiries on own initiative and determines if executives action is required. Refers routine matters to appropriate person for action and follows up to ensure completion.
    • Schedules and maintains executives calendar of appointments, meetings and travel itineraries, and coordinates related arrangements. Anticipates and prepares meeting materials, as needed by executive’s.  Coordinates executives travel, hotels and ticketing for special events.
    • Independently gathers, compiles and analyzes information from multiple sources; prepares a variety of detailed memos, reports, or itineraries. Composes routine and non-routine correspondence, memoranda, reports, etc, which are generally confidential in nature. Uses various PC software (Microsoft Office, Excel, Power Point, Outlook) to produce high quality documents.
    • Acts as liaison between the executives and MSG’s senior management relating to executive issues.
    • Acts as liaison between the SVP’s and their direct reports, as well as internal and external contacts. Coordinates activities, conducts research and ensures that requests are carried out. Handles a wide variety of situations and tasks involving the clerical and administrative functions of the office, which often cannot be brought to the attention of the SVP.
    • Responsible for ensuring that office equipment works properly. Coordinates repair requests with other department staff, facilities and/or outside vendors. Maintains records on all repairs and orders.
    • Manages the coordination and tracking of all internal department Ticket Requests.
    • Assists and Manages the completion of special projects as requested by the SVP.
    • Prioritize functions and appointments, ensuring that meetings, deadlines, presentations and other business and personal projects of the SVP Threat Management are carried out seamlessly.


    • 3 - 5 years administrative experience in a fast paced, high volume corporate setting handling a wide range of administrative related activities
    • Experience supporting senior level executive(s)
    • Strong communication skills (both written and oral), with the ability to interact with all levels of management and staff
    • Candidate should be well-organized and detail-oriented with the ability to multi-task with a track record as a strategic thinker capable of foreseeing impact of simultaneous projects.
    • Must be able to handle highly confidential and sensitive information with the utmost discretion
    • Strong work ethic and a positive attitude; with an ongoing sense of urgency
    • Strong judgment, decision making, time management, and prioritizing skills.  Must be energetic, positive, and resourceful.
    • Excellent knowledge of Microsoft Office applications (Outlook, Excel, Powerpoint, etc)
    • Proficient knowledge of expense reporting and invoice processing systems (Concur, WorldTravel, Puridiom)


    • Must be flexible to work nights/weekends to participate in events


    Candidates who have completed 60 credits of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred.
