Responsibilities

The Senior Coordinator provides administrative and event support to the Forum’s Managing Partner and SVP/GM, as well as other members of the facilities and entertainment executive team.

  • Screens the SVP’s and Managing Partner’s incoming phone line, takes detailed messages, and transfers calls to appropriate parties.
  • Actively manages the SVP’s calendar of appointments and travel itineraries. Prepares any required meeting materials, and compiles/distributes meeting minutes as required.
  • Prepares monthly expense reports and supplies required back up documentation.
  • Ensures timely processing of facility and event related invoices.
  • Ensures smooth working relationships and fosters strong collaboration across internal departments and external partners.
  • Works closely with the larger entertainment team to support venue endeavors ranging from: Talent Relations, back of house inventory, event rentals, VIP Parties, etc.
  • This is a full time position that requires working office hours, as well as events on nights, weekends and holidays.
  • Performs other duties and projects as assigned by SVP/GM.

Qualifications

  • Two or more years of administrative experience in the entertainment or sports industry.
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and proven ability to handle sensitive and confidential information with integrity.
  • Proven ability to thrive in a fast-paced and rapidly changing environment
  • Forward thinker who is able to problem solve and find creative solutions in a timely manner
  • Detail oriented, organized, and able to see all tasks through to completion under limited supervision.
  • Ability to work independently, prioritize tasks and exercise good judgment and initiative.
  • Background in the concert industry is advantageous.
  • Must have valid driver’s license and insurance, as various tasks may require travel off property.
  • Experience with budgeting and/or finance.
  • High level of proficiency in Microsoft Office applications with Word and Excel skills essential.

Education

Candidates who have completed 60 credits of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred.
