    Responsibilities

    BASIC FUNCTION:

     

    During Arena events, the Event Office Representative is responsible for the overall operation of the Suites Event Office. This individual is also responsible for setting up the Event Office for all events and processing all post event reporting. This position acts as the liaison between Suites management, event staff, suite holders and all operational departments within the arena.

     

    DUTIES AND RESPONSIBILITIES 

    • Arrive on time and dressed according to company standards.
    • Meet with Suite Services Coordinators to pick up paperwork, discuss any special requests for event.
    • Set up the office for the event, to include ensuring that event folder is complete and accurate, computer systems are set up properly and checks are assigned to servers according to the breakdown.
    • Assist Suites and Catering Managers with any additional tasks needed before the event.
    • Input any last minute orders or requests into the appropriate system, communicate to runners and provide paperwork for suite attendant.
    • During event, monitor radio and telephone communication and direct calls to appropriate departments or suite attendants.
    • Remain in event office for the duration of the event to monitor the removal of all beverages by runners.
    • Provide service to guests by answering phones in a professional and polite manner, being efficient yet unrushed. Communicate guest needs to appropriate suite attendants quickly and follow up to ensure that guest is satisfied. At event conclusion, run Infogenesis reports and send closing/revenue reports via email to applicable recipients. Complete suite par restock within Infogenesis system.
    • Collect Concierge Representative?s monthly availability and create bi-weekly work schedules. Process Concierge Representatives bi-weekly timesheets and provide hours to payroll.
    • Participate in special event-related projects and performing other duties directed by Event Manager and Suites Management.

    Qualifications

     

    • One or more years of customer service or hospitality experience.
    • Proven ability to listen, understand and communicate effectively.
    • Extremely well-organized with the ability to complete multiple tasks effectively under pressure. Proficient in basic computer programs.
    • Available to work flexible hours.
