Responsibilities

Under the supervision of the Director, Office Services & Property Management, The Manager of Office and Facility Services will be responsible for the day to day site requirements & service requests for the 400K sq./ft. office space within 2 Penn & 11 Penn Plaza. 

 

  • Support daily operations & address office space requests as they arise
  • Actively manage relationships with external vendors as required to ensure maximum service value
  • Coordinate space relocation services (workstations, offices, departments) with the internal client as well as associated internal & external service providers to ensure seamless transition
  • Work cross-functionally with MSG staff to ensure space environment is in lock-step with the activity & timelines during the On-Boarding & Off-Boarding process
  • Be familiar with reporting on budget variances, arrears reporting, & general property conditions
  • Assist department on necessary maintenance of first-aid supplies as well as inspections on life/safety equipment
  • Responsible for creating work order requests & tracking progress & closeout in a timely fashion
  • Responsible for the accuracy of floor plans representing seating assignments & layouts
  • Continually monitor floor activity to ensure clean & safe working environment
  • Maintain & update furniture inventory based on the needs of MSG staff. Ability to forecast availability of critical items
  • Ensure all billing is received in a timely fashion, maintain budget compliance, help prepare budgets, contracts, purchase orders as directed
  • Familiarity with vendor service level agreements (SLA’s), building/facility contracts and all other requirements as necessary
  • Help monitor and ensure vendors comply with insurance requirements & renewals
  • Assist in preparing mailroom staff & receptionist schedules & work assignments

 

 

Qualifications

-Ability to effectively communicate processes, procedures, cause & effect with all internal ranks

-Manage vendors & contractors ensuring services are delivered in a timely fashion

-Ability to react and problem solve against unforeseen circumstances

-Demonstrate an ability to solve problems and deliver a variety of options in complex situations

-Monitor operations for efficiency & quality of service

 

-Bachelor Degree (Four year college degree)

- A minimum of three years working in commercial or industrial real estate with facility management experience preferred

-Demonstrate proficiency in Microsoft Product (Excel, Project, Word, Outlook)

-Demonstrate proficiency in AutoCAD

- Experience with Big Center Software

-Comprehension of basic construction Documents

-Certificate/Graduate Degree in related Discipline a plus

Education

Candidates who have completed 60 credits of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred.
