Responsibilities

The Senior Administrative Assistant will support the SVP Operational Readiness and Customer Experience team.

 

  • Work collaboratively with the other Administrative Assistants to insure all team members have the necessary information when called upon.
  • Coordinate and arrange meetings and schedules in a fast moving environment. 
  • Anticipate all contingencies and be strategic in prioritizing projects undertaken. 
  • Carry out regular and continual review of emails, phone calls, and other forms of correspondence and then identify the appropriate follow up action. 
  • Prepare comprehensive travel itineraries and contact lists specific to each trip, and orchestrate all necessary arrangements. 
  • Schedule executive level conference calls, videoconference meetings, in-person, and on-site/off-site meetings with C-suite executives, and employees. 
  • Coordinate logistics for special business events and personal projects; help locate and obtain information & resources; anticipate and prepare materials as needed. 
  • Manage sensitive, highly confidential, and proprietary information with discretion and the utmost level of confidentiality.
  • Order and stock appropriate office supplies and equipment for executive staff.
  • Prioritize functions and appointments, ensuring that meetings, deadlines presentations and other duties of the business are carried out seamlessly.
  • Work as part of a high touch team by providing regular communication and fostering a high level of collaboration, teamwork and cooperation. You may be requested to support other Executives of the organization in addition to your regular administrative coverage and responsibilities.

Qualifications

  • Candidates must have a minimum of 5+ years hands on experience expediting business and personal projects in support of a manager within a complex organization. 
  • The ideal candidate must be highly flexible, stress tolerant and motivated, with an ability to work independently as well as in a team setting.
  • Experience managing a highly changeable calendar with extreme tact and diplomacy is essential. 
  • This person must have the ability to quickly learn the organizational structure and the objectives of the team as well as dealing with complexity and ambiguity within a large matrixed organization. 
  • Candidates must show demonstrated experience interfacing with high level executives from diverse arenas. 
  • Excellent communication and interpersonal skills are required. 
  • Able to schedule and manage intricate travel arrangements and anticipate all contingencies.
  • Able to maintain confidentiality and professionalism at all times. 
  • Candidates should be well-organized and detail-oriented with the ability to multi-task with a track record as a strategic thinker capable of foreseeing impact of simultaneous projects. 
  • Strong judgment, decision making, time management, and prioritizing skills.  Must be energetic, positive, outgoing, and resourceful.
  • Highly proficient in Microsoft Outlook, Excel, Word and PowerPoint.
  • Proven organizational skills in a fast-paced office environment
  • Ability to demonstrate success in managing multiple tasks while under tight deadlines and financial constraints.
  • Must possess excellent verbal and written communication, organizational, and time management skills.
  • Must be highly responsive to emergencies in a fast-paced, time-sensitive environment.
  • Possess exceptional attention to detail and strong follow-up skills necessary
  • Must have the ability to work independently when necessary, and use sound business judgment.

Education

Candidates who have completed 60 credits of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred.
