The Coordinator Shared Services will support the Vice President Suite Services & the Director Employee Services Center.

 

MAIN DUTIES/FUNCTIONS:

  • Office management duties including but not limited to, invoicing, managing calendar for VP, expense tracking, completing expense reports, ordering supplies, coordinating travel, and distributing correspondence
  • Managing operational and administrative functions to ensure specific projects are delivered efficiently
  • Assist with planning and executing in-house meetings and events
  • Maintain a variety of files and records of information (i.e. attendance, event files, employee files, etc.).
  • Conduct market research and gather pertinent industry information, including industry trends, competitive analysis
  • Maximize both employee and customer satisfaction.
  • Perform related duties as assigned by management.
  • Deliver monthly touchpoints to Suite Attendants and Suite Supervisors via email, phone or written communications to ensure a quality year-round experience.
  • Assist in the creation and coordination of special events to aid in guest satisfaction.
  • Preparation of suite attendant and suite runner gratuity reports for approval

Qualifications

Ideal candidate will be detailed oriented and will have 2-4 years of administration and/or coordinator experience in facility, event management, or a food and beverage outlet.  Candidate will have organizational skills coupled with excellent verbal and written communication skills. Must have excellent interpersonal skills along with the ability to work professionally as a team player in a fast-paced deadline orientated environment. Must be willing to work with union staff, and multi task in an extremely critical environment.

 

Required Qualifications:

  • Candidates who have completed a minimum of 60 credit hours of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred. Educational requirements may differ from job to job based on the role.
  • Minimum 2-4 years of administration and/or coordinator experience in a Food & Beverage operation is ideal.
  • Proven organizational skills in a fast-paced office environment
  • Ability to demonstrate success in managing multiple tasks while under tight deadlines and financial constraints.
  • Must possess excellent verbal and written communication, organizational, and time management skills.
  • Must be highly responsive to emergencies in a fast-paced, time-sensitive environment.
  • Possess exceptional attention to detail and strong follow-up skills necessary
  • Must have the ability to work independently when necessary, and use sound business judgment

 

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

 

Office position mainly sitting, standing, walking, typing, etc.

 

 

Education

Candidates who have completed 60 credits of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred.
