Responsibilities

 

  • Office management duties including but not limited to, invoicing, managing calendar for SVP, expense tracking, completing expense reports, ordering supplies, coordinating travel, and distributing correspondence
  • Managing operational and administrative functions to ensure specific projects are delivered efficiently
  • Assist with planning and executing in-house meetings and events
  • Maintain a variety of files and records of information (licenses, permits, contracts etc.)
  • Conduct market research and gather pertinent industry information, including industry trends, competitive analysis
  • Responsible for capturing site survey information/data, creating and updating project schedules.
  • Responsible for processing permit requests, preparing quotes and cost estimates.
  • Coordinate with contractors as they make repairs throughout the building.
  • Perform related duties as assigned by management.

Qualifications

Ideal candidate will be detailed oriented and will have 2+ years of administration and/or coordinator experience in facility, event management, or a food and beverage outlet.  Candidate will have organizational skills coupled with excellent verbal and written communication skills. Must have excellent interpersonal skills along with the ability to work professionally as a team player in a fast-paced deadline orientated environment. Must be willing to work with union staff, and multi task in an extremely critical environment.

 

Required Qualifications:

  • Candidates who have completed a minimum of 60 credit hours of college-level coursework (representing 2 years), or have shown similar self-development through certifications, trade school coursework, etc. are preferred. Educational requirements may differ from job to job based on the role.
  • Minimum 2+years of administration and/or coordinator experience in a facilities, construction, or maintenance operation is ideal.
  • Proven organizational skills in a fast-paced office environment
  • Ability to demonstrate success in managing multiple tasks while under tight deadlines and financial constraints.
  • Must possess excellent verbal and written communication, organizational, and time management skills.
  • Must be highly responsive to emergencies in a fast-paced, time-sensitive environment.
  • Possess exceptional attention to detail and strong follow-up skills necessary
  • Must have the ability to work independently when necessary, and use sound business judgment.

 

Preferred Qualifications:

  • Must be detail-oriented, organized with the ability to multi-task in a fast-paced, deadline-oriented environment.
  • Demonstrate integrity, tact, diplomacy and a commitment to company values, and principles while ensuring the upmost consistency.
  • Experience in logistics in the live entertainment or sports environment or similar industry.
  • Experience in a Union environment
  • Able to work under pressure and meet deadlines, while managing multiple tasks.
  • Must be able to multi-task and prioritize in a deadline-oriented environment.
  • High written and verbal communication skills, with proficiency in MS Office.
  • Strong administrative, organizational, and time management skills.
  • Experience in metrics and/or data reporting.
  • Ability to work a flexible schedule inclusive of days, nights, weekends and holidays.

Education
